Unit 3: Office tools

  • Introduction to a word processor: create and save a document.
  • Edit and format text: text style (B, I, U), font type, font size, text colour, alignment of text. Format paragraphs with line and/or paragraph spacing. Add headers and footers, numbering pages, grammar and spell check utilities, subscript and superscript, insert symbols, use print preview, and print a document

Office Tools

Introduction to a Word Processor

  • A Word Processor is a software used to create, edit, and format documents.
  • Examples: MS Word, Google Docs, LibreOffice Writer.
  • You can type, save, edit, and print documents easily.

Create and Save a Document

  • Open MS Word (or any word processor).
  • Type your content.
  • To save → Click File → Save As → Choose folder → Give a file name → Click Save.

Edit and Format Text

a) Text Styles

  • B (Bold) → Makes text darker/thicker. Example: Word
  • I (Italic) → Slants the text. Example: Word
  • U (Underline) → Adds a line under the text. Example: Word

b) Font Type, Size, and Colour

  • Font Type → Style of letters (Arial, Times New Roman, Calibri).
  • Font Size → Small or large text (e.g., 12, 16, 20).
  • Text Colour → Change text colour (e.g., red, blue, green).

c) Alignment of Text

  • Left Align → Text starts from the left side.
  • Center Align → Text is in the middle.
  • Right Align → Text starts from the right side.
  • Justify → Text is spread evenly from left to right.

3) Format Paragraphs

  • Line Spacing → Distance between lines (e.g., 1.0, 1.5, 2.0).
  • Paragraph Spacing → Extra space before or after a paragraph.

4) Headers and Footers

  • Header → Text at the top of every page (e.g., school name).
  • Footer → Text at the bottom of every page (e.g., date, class name).

5) Numbering Pages

  • Add page numbers by going to Insert → Page Number.
  • Numbers can appear at top, bottom, left, right, or center.

6) Grammar and Spell Check Utilities

  • Word processors underline wrong spellings in red.
  • Grammar mistakes are shown in blue or green.
  • Use Right-Click → Suggestions to correct.

7) Subscript and Superscript

  • Subscript → Small text below the line. Example: H₂O.
  • Superscript → Small text above the line. Example: x².

8) Insert Symbols

  • Go to Insert → Symbol to add special characters (©, ™, √, €, etc.).

9) Print Preview and Print

  • Print Preview → Shows how the document will look on paper.
  • Print → Go to File → Print → Select Printer → Click Print.
